7.9 | Admissions Policy

The purpose of this policy is to update Sampoerna University’s Admission Policy and to comply with any applicable legislation in Indonesia and current SU practices. It seeks to provide a professional and efficient admission process supported by technology and integrated across multiple units of the University. This will be done to improve overall customer service to prospective students and their families.

7.9.1 | Policy Statement

 

7.9.1.1 | Student Recruitment

Article 1.1
Given the different dynamic and market segments of applicants, student recruitment for Sampoerna University is split into two operations: one for Assisted Students and a second for Fee-Paying Students. Assisted Student Recruitment, conducted by the Fundraising team of PSF, targets regions and schools that are generally under-resourced to identify prospective students with high aptitude but whose families have very limited financial resources. In addition, the Fundraising Team seeks and provides significant financial support for tuition and living allowances for candidates who meet the admission requirements of the University. The Fee- Paying recruitment team primarily targets high-performing applicant pools at national, national- plus, and International (SPK) secondary schools that are more likely to be seeking a U.S.-style college and can afford the tuition of SU.

Article 1.2
Recruitment is a shared responsibility of the Student Recruitment Unit, Marketing and supported by the Academic Units who own the educational programs. The Student Recruitment Unit is charged with generating inquiries through a number of activities including open houses, visits to target high schools, group testing of potential applicants, and other activities that lead to prospective students’ submission of applications.

Article 1.3
All applications must undergo preliminary review by the Admission Office to confirm that the application is ready for further processing. Admissions and the Testing Center will then be responsible to proceed with the Placement Test with results provided to Student Recruitment and/or the Fundraising Team for the appropriate follow-up.

7.9.1.2 | Admission Office

Article 2.1
The Admissions Office is responsible for managing the admissions process for all prospective students, including both First-Time in College (FTIC) and transfer-students from both Assisted and Fee-paying student recruitment units. All admission decisions must be authorized by the SU admissions office. For Assisted Students, an ad hoc Selection Committee informs the Admissions Office of final scholarship approvals from donors once an Assisted Student candidate is eligible for admission to the University.

Article 2.2
The Admission Office is responsible for verifying the eligibility of applicants who will be taking the Placement Test. The Admissions Office also collaborates with the Testing Center to schedule and invite prospective students. The Testing Center is responsible for administering all SU Placement Tests (online and offline).

Article 2.4
The Admissions Office works closely with the Bursary to process invoices, including any tuition waivers or discounts, as part of the LOA (Letter of Acceptance) packages forwarded to those admitted. The Admissions Office is responsible for issuing and sending formal decision letters (LOA). The Bursary is charged with generating invoices of applicable tuition and fees due to prospective students including any tuition waivers or discount.

Article 2.5
In the case of transfer students, the Admission Office will submit relevant documents (i.e. transcripts) to SPAC to be evaluated. Advising and formal evaluation and course recommendation are to be issued by SPAC.

Article 2.6
To support the University’s retention efforts and to increase the rate of 4-year graduation in STEM fields, the Admission Office also identifies students who should take a higher-level math placement test so they can test into Calculus during their first semester. Admissions also informs targeted students of Higher-Level Math (HLM) workshops who have committed to joining the university. The Admission Office is working with the student success department to provide the math workshop for these committed students.

Article 2.7
The final number of committed students is reported to Academic Registry for enrollment and Student Affairs for the NSO (New Student Orientation) invitation. The Admissions Office ensures that all enrolled students complete their semester payment and required documents for enrollment. Upon document hand-over of student information, Admissions will provide a list of outstanding documents with their expected submission dates to Academic Registry.

7.9.1.3 | Admission Requirements

Article 3.1
To be considered for admission, there are minimum requirements that all prospective students must meet. Candidates must submit required information in the application portal, including the application fee or waiver code, previous academic year high school transcripts (full one year or two semesters) and valid ID. High school completion certificates must be submitted before enrollment.

Article 3.2
Prospective students must meet the minimum necessary qualifications for acceptance. The minimum necessary qualifications for acceptance are:

  1. Scores on the College-readiness Test that quality for admission to the degree program, or
  2. Standardized test scores from the SAT or ACT with acceptable scores meeting the minimum threshold for college readiness, or
  3. Scores on an approved English Proficiency Test that qualities candidates for Level 4 or higher (of 6) of the developmental English Program.
7.9.1.4 | Tuition Fee and Scholarship

Article 4.1
Tuition Fees must adhere to the Pricing Policy. The Tuition Fee is updated annually with the acknowledgement and approval of VRES, VRARO, and the President of Sampoerna University after final approval from the University Council.

Article 4.2
Scholarships, Merit Awards or other tuition discounting schemes must adhere to the Student Scholarship Policy. It is updated annually with the acknowledgement and approval from VRES, VRARO and the President of Sampoerna University

7.9.1.5 | Student Enrollment

Article 5.1
To be fully enrolled, committed students must complete all the required documents stated in the admission checklist including full payment of the enrollment fee (unless waived) and the first semester fee as stated in the invoice.

Article 5.2
The Admission Office shares the final list of enrolled students to SPAC for advising, SAA for orientation programs, and Academic Registry for formal enrollment and course registration. The final enrollment list from Admissions will be submitted before orientation.

Article 5.3
Once documents are transferred to Academic Registry, student data will then be managed by Academic Registry. At that point, the responsibility for managing and maintaining all academic records is the responsibility of Academic Registry. To maintain an accurate record of enrolled

students, Admissions will synchronize newly enrolled student data with Academic Registry two weeks after the semester starts (after the add/drop period).
Article 5.4
Any students who have not completed all of their admission requirements by the end of their first semester (i.e. high school completion, final grades, IGCSE scores, etc.) may be subjected to administrative holds, academic suspension, or administrative withdrawal.

7.9.1.6 | Transfer-in Students

Sampoerna University accepts transfer students in accordance with the University’s policy on transfer admissions and awarding of credit for prior learning.

7.9.1.6 | International Students

Article 7.1
The Admissions Office works with Government Relations and Academic Registry to ensure admitted international students comply with applicable laws regarding student visa.
Article 7.2
International Students go through the same admission process and must meet the same admission requirements as all other students. They will, however, must provide additional documentation in order to obtain a student visa. International students should apply no later than 3 months before the start of the semester to provide adequate time for obtaining the student visa.

Article 7.3
In addition to general admissions criteria, international applicants will need to complete the documents below for immigration purposes:
1. Study Permit from The Ministry of Education, Culture, Research & Technology (Dikti)
2. Exit Permit Only (EPO)
3. Student Visa & Temporary Stay Permit (ITAS) from Immigration Office
4. Reporting certificate (STM) from Police Department
5. Residence Certificate (SKTT) from Department of Population and Civil Registration (Disdukcapil)
